Switching mail platforms is mostly about preparation. Knowing who owns which mailbox, alias and calendar prevents the surprises that cause the most stress.

Three things that matter most in Norway

  • List every alias, group and shared mailbox and decide where each should live in Zoho Mail.
  • Migrate in batches and run delta syncs so messages arriving mid-migration are not missed.
  • Re-check authentication records after cut-over and send test messages to major mail providers.

A practical checklist

Use this list as a starting point and adapt it to your size, sector and the advice of your local professionals. It is general guidance, not legal or tax advice.

  1. Run a pilot with a few users and compare counts of folders, messages and calendar items.
  2. Use delta syncs so mail that arrives during the move is not lost.
  3. Lower DNS time-to-live a few days before cut-over so changes take effect quickly.
  4. Keep the old system available read-only for a short period, then decommission with a written plan.
  5. List every mailbox, alias, shared resource, domain and integration before changing anything.

Local context: Norway

Businesses in Norway operate under 25% MVA (VAT), supervised by Skatteetaten and the Brønnøysund Register Centre, and commonly use AS (limited companies). On invoicing and digital records: EHF/Peppol e-invoicing for public customers. Records and reporting expectations follow from this: SAF-T export capability and MVA returns. Where your data sits also matters, so check the hosting region you choose, for example the Zoho EU data centre.
